Images and Video Policy

Collection of Images and Video
As part of our standard operating procedures, Safe Space Cleaning staff or contractors may collect images and/or video during their work process. This may include:
- Items or areas being cleaned, e.g. – Items of upholstery or areas of carpet
- Cleaning techniques and technology, e.g. – staff at work
- The environment in which staff are working, e.g. – offices, rooms or other areas of private property
This list is not exhaustive and serves only to provide some examples of what or where we may collect images and/or video.
Why We Collect Images and Video
There are a number of reasons why we may collect images or video.
- Insurance Purpose – We routinely take images before, during and after our work, to document what we have or have not done. This is to protect both ourselves and our clients should the need arise.
- Staff Training – We always aim to provide our clients with the best possible service, utilising latest technologies and cleaning techniques. To that end, we may obtain images of our staff during a cleaning process to aid current or future training needs or requirements.
- Marketing – We reserve the right to use any images or video collected during the course of our business for the purposes of marketing or promoting our cleaning services.
GDPR, Privacy and Your Rights
Privacy Laws, GDPR in particular, covers the processing of personal data, i.e.- information, including images relating to an individual. This does not extend to private property.
Safe Space Cleaning is under no legal obligation to seek permission from a landlowner prior to obtaining images and/or video of private property.
Therefore, provided our staff have been invited lawfully on to private property, assuming there are no signs, or prior objections from the landowner, Safe Space Cleaning assumes the right in good faith to take images and/or video for lawful purposes, as outlined in the examples above. The Copyright of those images will be owned soley by Safe Space Cleaning.
If a client has any objections to images and/or video being taken on their private property they can either cancel their booking (subject to the T&C’s outlined in our Booking policy) or contact our office to discuss the matter prior to the job going ahead.
However, we reserve the right to cancel or to refuse to undertake any aspect of our cleaning service should permission to take images and/or video be refused by a client prior to our during our work being undertaken.
Objections made after the event will only be considered under exceptional circumstances and only if a lawful and legitmate reason can be provided as to why we should not retain or use any images that have been taken.
Processing of Data
Safe Space Cleaning will ensure that any images or video obtained in the course of its business activities are stored and processed in accordance with our Privacy policy.
If images or video are subesuently used for marketing purposes, Safe Space Cleaning will ensure that they are screened to ensure that they are suitable and apropriate for the purpose in which they are being used, this may include altering, redacting or masking parts of the images to ensure privacy for our clients, whilst showcasing our work, e.g. – masking ornaments, pictures or other information in the background.
